Privacy Policy
Last updated: pending Dutch business registration. This is a plain-language summary of how we handle data. The legal text will be finalised with a GDPR-compliant template (Termly / Iubenda) before paid customers sign up.
Data we collect
- Your name, email, phone number, and business name when you sign up.
- Call recordings and transcripts of inbound calls handled by the AI receptionist.
- Basic usage data (number of calls, languages detected, response times) to operate the service.
- Payment information processed by Stripe (we never store card details ourselves).
Why we collect it
To operate the AI receptionist service: route calls, generate summaries, send them to your inbox, bill your subscription, and improve call quality over time.
Where data is stored
All data is hosted in the European Union. We use Supabase (Frankfurt region), Vercel (EU edge regions), Vapi, ElevenLabs, Twilio, and Resend. Each of these providers is GDPR-compliant. Call recordings are retained for up to 13 months and then automatically deleted.
Your rights
Under GDPR you have the right to access, correct, delete, or export your data, and to object to processing. To exercise any of these, email steven@repondio.com and we will respond within 30 days.
Caller consent (important)
When a guest calls your hotel and reaches the AI receptionist, we disclose at the start of the call that they are speaking with an AI and that the call may be recorded. By using this service you agree to this disclosure and accept responsibility for compliance with local recording-consent laws in your jurisdiction.
